**Sponsor Showcase & Welcome Reception (Tuesday, August 25)

This reception is open to all registered attendees.

However, only sponsors (those who sponsored at a Bronze Level or higher) located within the Sponsor Pavilion may have booths open and showcase products during this time.

Sponsors are expected to have their booths full set and staffed, as they would be during during standard expo hours.

All non-sponsor exhibitors may attend the reception but may not exhibit or conduct product demonstrations until the main expo opens on Wednesday.

10x10 Package

Each per 10’ x 10’ Exhibit Booth Space includes the following standard equipment:

  • 8’ Backwall Drape: Black
  • 3’ Side Rail Drape: Black
  • (1) 6’ L x 30” H Table Skirted Black
  • (2) Side Chairs
  • (1) Wastebasket
  • (1) Booth ID Sign
  • Basic WiFi

Exhibit Booths wanting additional furniture or electric will need to order from official show vendors.

Please Note: Basic event wifi service included with Exhibitor Booth Packages.

Please avoid streaming video or downloading large files over show wifi.


Emerging Brands Exhibitors

Please note for Emerging Brands Exhibitors:

Emerging Brands exhibitors are not required to order furniture, carpet, wifi, or standard electric for charging devices.

This is included in the Emerging Brands exhibit area.

Emerging brands will need a card on file to pay for any material handling services.


Show Carpet Information

• The Show Floor Aisles and Main Show Floor Aisle are carpeted in Blue Tuxedo.
• Booth carpeting MUST be ordered - per show management.
If carpet is not ordered by 7/16/26, carpet will be provided and charged according to booth size.

Additonal Important IAEE Booth Display Guidelines

Exhibitors, please be sure your review IAEE Booth Display Guidelines to ensure that your
booth is in compliance.

1. All exhibitors with booths 20x20 or larger must send their booth design to McLane at
engagesupplier@mclaneco.com for review/approval no later than:  Friday, July 17th


2. Booths 400 s/f and above are strongly urged to use an "open" layout so they do not
impede sight lines of adjacent booths.


3. No booth properties may be taller than 18'.

4. Hanging Sign Max Height: 23' to the top of the Sign.

How to Donate Your Leftover Samples

1. Donation Labels & Form

Willwork will drop off official donation labels and a donation Material Handling Agreement form at your booth just before the close of expo.

These labels and the MHA form ensure your products are correctly identified for charity pickup.

2. Label Your Donations

Affix the donation labels to all items you intend to donate. Only items marked with these labels and noted on the MHA form will be eligible for charity collection.

3. Charity Pickup from Your Booth

Our charity partner, G.R.A.C.E. – Grapevine Relief and Community Exchange, will collect all clearly labeled donated items directly from your booth on:

Thursday, August 27th at 2:00 PM central

Please ensure your donations are clearly labeled and ready for pickup before this time.

4. Drop off Your Donation Form

Please drop off your donation MHA form at the exhibitor service desk.

No Additional Cost to Exhibitors

There is no charge for exhibitors to participate in the donation program.

Your contributions directly support our charitable partner and the communities they serve.

Food & Beverage Sampling Information

  • Food & beverage samples are permitted on the show floor with prior venue approval.
  • All food & beverage items to be sampled must be submitted via email to Kelly Wilcox:  kwilcox@gaylordhotels.com by July 10.
  • To order in-booth catering, please contact: Kelly Wilcox kwilcox@gaylordhotels.com
  • Sample Size: Exhibitors may provide sample-sized portions for tasting and promotional purposes without restriction, provided these remain aligned with the historical format of the event. 
  • Full-Size Items: Exhibitors wishing to distribute full-size packaged goods in line with previous years will incur a corkage fee of $100.00 per vendor, plus applicable tax and service charge.
  • Exhibitors wishing to distribute full-size prepared food items in line with previous years will incur a corkage fee of $500.00 per vendor, plus applicable tax and service charge. 
  • Compliance: All exhibitors must comply with Hotel’s health, safety, and insurance requirements. Alcohol samples are not permitted.
  • Exhibitor sampling is intended to promote products vs. providing catering or meals.

Shipments that arrive at the warehouse after Friday, August 14, 2026 cannot be guaranteed to arrive before show opening. Additional handling charges will be added for expedited trucking and freight
